Modebase is operated by Nerida Wendy Lindsay, a sole trader trading as “Modebase” (ABN 11 593 506 649) (“we”, “us”), based in New South Wales, Australia. Contact: support@modebase.co.
Modebase is a wardrobe infrastructure layer: the structured memory of your wardrobe that your own AI assistant can read and write, so it can help you get dressed, plan outfits, build capsules, and prepare pieces for resale. This policy explains what information we collect, why, where it goes, and the choices you have. We have tried to write it in plain English.
1. What we collect
Information you give us:
- Account details: your email address, and a display name if you set one.
- Photos of clothing: photos you take or upload of garments, and images our systems generate from them (cut-outs and catalogue-style renders). A photo you upload to add a piece, or to detect several pieces from one image, may be a plain shot of the garment, a mirror selfie, or a worn/outfit photo, so it can show your face or body. We send it to our AI providers (listed below) to isolate the named garment into a clean cut-out with any person or background removed, and your closet shows only that cut-out. The original photo you uploaded is stored with the item as a fallback; you can remove it at any time by deleting the item or your account (see “Retention and deletion”).
- Photos of you: these are optional. If you send a photo of yourself for a fit check (“does this look ok?”), it is sent to our AI provider to answer you and is not stored. The app works without it. (A photo you upload to add a garment is handled differently, see “Photos of clothing” above, because there the original is stored with the item until you delete it.)
- Item and outfit details: names, brands, colours, notes, and other details you add about your clothes, outfits, and edits.
- Planned outfits: if you plan an outfit on a date in the in-app calendar, we store that outfit and the date you chose so you (and, if you connect it, your assistant) can see what you have planned.
- Wardrobe notes from your assistant: when you talk to your AI assistant about your clothes, short notes that apply to your wardrobe (for example a preference, or a detail about a piece) are recorded in your Modebase memory so styling stays consistent across conversations. Only short wardrobe notes are stored, never your conversations. See section 4a.
- Age confirmation: a record that you confirmed you are 18 or older (we do not collect your birthdate).
- Consent records: the version of the Privacy Policy and Terms you accepted, your 18+ confirmation, when you accepted them, and whether you accepted in the web, iOS, or Android app. We do not add your IP address or a device fingerprint to this record.
Information collected automatically:
- Usage information: actions in the app (for example items added, features used, AI generations requested), timestamps, and approximate technical context (device/browser type). We use this to run the service, enforce usage limits, and improve the product.
- Sharing statistics: view counts on lookbook links you create.
Product analytics: we use Vercel Web Analytics (privacy-friendly and cookieless, with no cross-site tracking) and Microsoft Clarity to understand how the website is used so we can improve it. Clarity produces heatmaps and anonymised session replays (playback of on-page actions such as clicks and scrolling); it masks text and form inputs by default, so what you type is not captured. We do not use this for advertising, and we do not sell it. You can opt a device out by visiting any page with ?noanalytics=1 in the address.
What we do not collect: your birthdate, your contacts, your location, or your photo library beyond the photos you explicitly select.
Batch my photos: when you use Batch, we look only at the photos you choose, never your wider library. Each is checked once for clothing; photos without clothing are processed transiently and deleted straight away, and are never stored, inspected further, or used for anything else. Photos you decline at review are discarded too. Only the images of garments you keep are stored, as part of your own wardrobe record. Nothing from a batch is used for training.
2. How we use your information
- To provide the service: storing your wardrobe, generating cut-outs and renders, recording wardrobe notes from your assistant, and building outfits and edits.
- To run the service: counting your renders against your free allowance and any render packs you've bought.
- To keep the service safe: rate limiting, abuse prevention, and reviewing reported content.
- To communicate with you: sign-in codes and essential service emails, and occasional Modebase updates (for example a new feature, or when the ChatGPT app goes live) sent to the email you give us. You can unsubscribe from these updates at any time using the link in every such email; you will still get essential service emails. We only email you about Modebase itself, never third-party advertising, and we do not sell your email.
- We do not sell your personal information, and we do not show advertising.
3. Who processes your information
We use a small number of providers to run Modebase. They process your information on our behalf to provide the service:
- Supabase (database, authentication, file storage): stores your account, wardrobe data, images. Data is stored in Supabase’s Asia Pacific (Singapore, ap-southeast-1) region; this means your data is held outside Australia.
- Vercel (hosting and API infrastructure): serves the app and processes requests sent to our web APIs. This means content you choose to upload, including photos, may pass through Vercel infrastructure before it reaches our storage or the image and AI providers described below. Our functions are configured to execute in Singapore, but Vercel and its subprocessors may process service data in other countries, including the United States.
- Microsoft Clarity (product analytics): receives anonymised interaction data and session replays of your use of the modebase.co website to produce heatmaps and usage insights. Text and form inputs are masked by default. Clarity is provided by Microsoft and may process data in the United States. It runs only on the website, never inside the ChatGPT connector or your wardrobe data.
- OpenAI (image generation): garment and outfit images are sent to OpenAI’s API to generate catalogue-style renders and studio images, and downscaled thumbnails from the optional camera-roll “Batch” are sent to help spot which photos contain clothing. Per OpenAI’s API terms at the time of writing, API content is not used to train models by default. OpenAI may retain API content in abuse-monitoring logs for up to 30 days unless a different approved data-control arrangement applies to our account.
- Anthropic (text and image understanding, and styling): Anthropic’s Claude API is our main model for understanding text and images and for generating styling answers. Garment photos, receipts, item details, and your wardrobe context are sent to read tags and labels, extract details, and build outfits and advice. Photos you send for a fit check are also sent to Claude. To help match a garment to a product, Claude may run a web search using details such as a brand and item name, which uses Anthropic’s own search sub-processor. Content submitted through the API is not used to train their models by default.
- remove.bg (image processing): photos may be sent to remove.bg to produce background-removed cut-outs.
- Resend (email): sends sign-in codes and essential service emails to your address. If you use “add via email” to forward order confirmations, Resend also receives those forwarded emails on our behalf and holds them briefly so we can read the items from them; the email content passes through Resend before we process it.
- Stripe (payments): when you buy a render pack or an add-on, Stripe processes the payment. We receive confirmation of the purchase and a customer reference, but we never see or store your full card details - those are handled by Stripe under its own privacy policy.
We do not otherwise share your personal information with third parties, except if required by law or to protect the safety of the service and its users.
4. Sharing you control (shared looks and lookbooks)
If you create a shared link — a lookbook, or a single shared outfit — anyone with that link can view what you shared. Shared pages show only garment images, item names, brands, categories, and colours, plus the title, note, and first name you choose to include. They never show your prices, personal notes, stories, or wear history. You can revoke a lookbook link at any time in the app, which disables it.
A person you share an outfit with can leave handwritten notes on it and send it back to you. Those notes are added and shared entirely on their own device, through their own messaging app; they are not sent to or stored by Modebase.
4a. Connecting your assistant (the Modebase connector)
You can connect Modebase to your own AI assistant (such as Claude or ChatGPT). When you do, you choose separate permissions before it can act. Depending on what you grant, your assistant may view wardrobe items and styling information, including your garment photos, the composed flat-lay images we generate from them, and outfits you have saved or planned on a date; separately view wear history; add an item; create a capture link; save visible Style Profile preferences; or save and organise outfits and wardrobe activity. The consent screen lists these permissions, and a request is rejected unless its required permission is present. Every request is initiated by your assistant on your behalf;Modebase does not continuously push your wardrobe to the assistant.
Your conversations with your assistant happen inside that assistant and are governed by your own terms with its provider (Anthropic or OpenAI), not by Modebase. You can revoke a connection at any time on your profile, with immediate effect. Once revoked, the assistant can no longer reach your wardrobe.
When you express a wardrobe preference, your assistant may save a short note about it to your Style Profile (for example “prefers gold jewellery”), so styling stays consistent across conversations. Every such note is visible and editable in your profile and can be deleted at any time; only short wardrobe preferences are stored, never your conversations. Deleting your account removes your Style Profile along with everything else.
When you share a worn or outfit photo, your assistant may also record short, factual notes about the pieces it shows, for example the setting or occasion (such as a dinner or the office), the season or weather if the photo makes it clear, and the overall vibe of the look (such as relaxed or polished), read from the scene and not from anyone’s face. These notes are attached to the relevant items, are visible and editable in your wardrobe, and can be deleted at any time.
5. Where your data lives and how it is protected
Your data is stored with Supabase. Images and files are kept in access-controlled storage; original photos always require authorisation, while optimised image variants used for fast loading may be served through content-delivery caches via links that are not publicly listed. All data moves over encrypted connections (HTTPS). No system is perfectly secure, but we design access so your private content is only available to your account and the providers listed above.
6. How long we keep things
- Your content (garment photos, renders, wardrobe data, and wardrobe notes) is kept while your account is active.
- Photos you send for a fit check are not stored at all: each is sent to our AI provider for that single request and then discarded.
- If you delete an item, its originals, cut-outs, reference photos, renders, and affected preview images are deleted from active storage, together with the item record.
- If you delete your account, we permanently delete your content and personal information from active systems, including photos, wardrobe data, and wardrobe notes. Database copies may remain in encrypted provider backups until the retention period for our configured Supabase plan expires; they are not available through the app and roll out of backup retention automatically.
- If you make a purchase, records required to account for it (for example your Stripe customer reference and payment history held by Stripe) are kept for as long as needed to provide the service and to meet our legal, tax, and accounting obligations.
- We may keep minimal non-identifying records (for example aggregate usage counts) after deletion.
7. Your choices and rights
- Access and correction: you can view and edit your information in the app, or contact us for anything you cannot reach.
- Deletion: you can delete individual items at any time, and delete your entire account in the app (Profile → Delete my account). Deletion is permanent.
- Optional features: fit-check photos and the camera-roll Batch are optional; the core app works without them.
- Product update emails: if you give us your email to try Modebase, we may send occasional updates about Modebase. You can unsubscribe at any time using the link in those emails, or by contacting support@modebase.co; you will still receive essential service emails such as sign-in codes.
- We handle personal information in line with the Australian Privacy Principles, and will honour applicable rights under other privacy laws where they apply to you. To raise a concern, contact support@modebase.co. If you are unsatisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC).
8. Age
Modebase is for adults. You must be 18 or older to create an account. We do not knowingly collect personal information from anyone under 18; if we learn we hold such information, we will delete it. If you believe someone under 18 has created an account, contact us at support@modebase.co.
9. Data breaches
If a data breach occurs that is likely to result in serious harm, we will notify affected users and the OAIC in accordance with Australian law.
10. Changes to this policy
We may update this policy as the product evolves. We will post changes here with a new effective date, and for significant changes we will notify you in the app or by email.
